How to Set Up the Thumbtack Integration in LeadTruffle

Connect Thumbtack to LeadTruffle and automatically qualify messaging leads with AI.

Overview

LeadTruffle integrates directly with Thumbtack so you can:

  • Automatically qualify new messaging leads

  • Respond instantly with AI-powered conversations

  • Manage Thumbtack leads inside your LeadTruffle inbox

  • Set up automated follow-ups

This guide walks you through connecting Thumbtack and configuring your AI properly.

Step 1: Connect Your Thumbtack Account

  1. Log into your LeadTruffle dashboard at:

  2. Go to External CRMs

  3. Scroll down to Thumbtack

  4. Click Connect

  5. You’ll be redirected to Thumbtack:

    • Log in if prompted

    • Approve the connection (2-click process)

✅ That’s it — your accounts are now connected.

Troubleshooting

  • Make sure you’re logged into Thumbtack before clicking Connect

  • Try Google Chrome if another browser causes issues

  • If needed, contact support

How the Thumbtack Integration Works

There are two types of leads in Thumbtack:

1️⃣ Messaging Leads (Primary Use Case)

These are the majority of your leads.

  • A new message comes in

  • LeadTruffle automatically responds

  • AI qualifies the lead

  • You can take over anytime

Inside Thumbtack, messages sent by LeadTruffle will show:

“Sent by integration partner”

If you manually respond (from LeadTruffle or Thumbtack), that tag will not appear.


2️⃣ Direct Job Leads

These are leads where someone directly reaches out to hire you.

In order to activate follow ups for these, we need to reach out directly to Thumbtack, so please contact LeadTruffle at [email protected] for help.

Step 2: Configure Your Thumbtack AI Prompt

Go to: Settings → Thumbtack Prompt

You’ll see:

  • Your general AI knowledge base (business info)

  • A Thumbtack-specific prompt

Default Prompt

We include a generic prompt by default.

You can:

  • Leave it as-is

  • Customize it for your business

Important: Thumbtack Sends More Data Than Other Channels

Unlike website leads, Thumbtack sends:

  • Customer name

  • Phone number

  • Detailed job description

  • Intake answers

  • Additional project information

Because of this:

❌ You usually don’t need to ask:

“How can we help you today?”

The lead already told you.

Step 3: Use “Edit Demo Payload” to Test

This is one of the most important setup steps.

Click:

Edit Demo Payload

What this does:

  • Simulates real Thumbtack lead data

  • Shows how your AI prompt responds to actual job details

  • Lets you preview messaging before going live

You can:

  • Choose a sample payload similar to your business

  • Apply preview

  • Click Send Preview Message

  • See how your AI responds

Adjust your prompt until responses feel natural and effective.

Step 4: Managing Thumbtack Leads

All Thumbtack leads appear in:

Conversations Inbox

You’ll see:

  • A Thumbtack badge on the left side

  • Full conversation history

  • Lead details

Filtering

You can filter by:

  • Thumbtack leads only

  • Status

  • AI vs manual

Turning Off AI (Manual Takeover)

You can turn off AI at any time:

  • From the Conversations inbox

  • Or at the lead level

We typically recommend replying directly from LeadTruffle instead of switching back to Thumbtack — it’s faster and centralized.

Step 5: Set Up Follow-Ups (Highly Recommended)

You can configure up to 3 automated follow-ups per conversation.

Recommended Timing:

  • 8 hours after lead

  • 12 hours after lead

  • 24 hours after lead

Custom Instructions

You can guide the AI with extra context, for example:

  • Offer a discount

  • Mention limited availability

  • Ask a specific qualifying question

The AI will:

  • Read the full conversation

  • Generate a context-aware follow-up message

Best Practices

  • Test your prompt using demo payloads

  • Don’t re-ask questions already answered in Thumbtack intake

  • Use follow-ups to increase response rates

  • Monitor conversations and refine over time

Summary

Once connected, LeadTruffle will:

  • Instantly respond to new Thumbtack messaging leads

  • Qualify prospects automatically

  • Let you step in at any time

  • Send smart follow-ups if leads go quiet
