1. Access Workflow Settings
• Log into your CallRail dashboard.
• Go to Settings.
• Click on Workflow.
2. Create a New Workflow
• Click Create Workflow.
• This workflow will control how calls are routed.
• You’ll link this workflow to one or more tracking numbers later.
3. Set Up Call Routing
• Choose the “Dial” option for a simple forwarding setup.
• Enter your primary business line (e.g., 631-707-4759) as the first destination.
• Under the “if no answer” rule:
• Set a timeout (e.g., 20 seconds).
• Then forward the call to your LeadTruffle number (usually a toll-free number).
4. Optional: Add Multiple Fallback Steps
• You can chain multiple fallback numbers, like:
• Owner’s personal cell
• Office landline
• Finally, LeadTruffle for missed call handling
5. Assign Tracking Numbers
• Choose which CallRail tracking numbers will use this workflow.
• For example:
• GMB number → Direct to LeadTruffle
• Website number → Business line → LeadTruffle
6. Test and Save
• Save your workflow.
• Run a test call to ensure everything routes correctly.
This setup ensures your team has the first opportunity to answer, and if missed, LeadTruffle will instantly follow up via text or AI voice — helping you capture every lead.
