How to train your AI Lead Qualifier in LeadTruffle

Train your LeadTruffle AI agent to qualify leads via website texting. Learn how to customize knowledge, prompts, and test behavior.

Introduction

Your AI agent in LeadTruffle acts as a 24/7 team member, handling inquiries from your website via SMS. Setting it up is simple, and this guide walks you through how to configure the AI’s knowledge and behavior to match your business needs.

1. Set Up Your AI Knowledge Base

  • Go to Settings > Company Settings

  • Add your website URL – this allows LeadTruffle to scrape your site for company info

  • After scraping, review the AI-generated:

    • Company description

    • Products/services

    • Pricing (manually add this if it’s not on your site)

  • Click “Save and Continue” to finalize the knowledge base

  • Your AI Knowledge lives under AI Knowledge in the left menu and is used by both website texting and phone-related features

Pro Tip:

Include key details like what services you do not offer and whether you want to share pricing. You can paste summaries from emails, spreadsheets, or use ChatGPT to condense info before adding it.

2. Define Your Service Area (Optional)

  • Head to Service Area under AI Knowledge

  • Enter your ZIP code and set a radius

  • Give each area a name to help the AI determine which leads are in or out of your service zone

3. Customize Company Settings

Before going live, make sure:

  • Your company name, phone, and email are accurate

  • You’ve set the correct time zone

4. Configure Your Website Lead Qualifier

  • Go to Website Texting > Lead Qualifier

  • Turn ON the lead qualifier to activate AI texting for new leads via your website widget

  • If left OFF, leads will be captured but won’t receive a message

5. Add Instructions to Guide the AI

  • Use the Instructions box to define how the AI should interact with leads

    • Example: “Ask what type of painting work they need. If interior, ask A, B, C. If exterior, ask X, Y, Z.”

  • Keep it focused: 3–5 core questions are ideal

  • Want the AI to say something exactly? Put it in quotes

6. Use Demo Chat to Test Conversations

  • Click “Start Demo Chat” to simulate a real lead conversation

  • This is the best way to test your AI’s responses

  • Avoid using your widget for testing as it may flag repeat submissions (12-hour window per number)

7. Choose Between Freeform or Structured Format

  • Freeform: Best for most users. Write natural instructions.

  • Structured Format: Ideal for detailed lead qualification (e.g., services, square footage, job details)

    • AI will treat your defined fields as form questions

    • Use if you need precision or field mapping

More on Structured Format (Optional)

If you need your AI to collect specific data points—like square footage, service type, or budget—you can use Structured Format mode. This turns your conversation into a guided form where each field is treated as a required input. Ideal for businesses with detailed qualification needs, but most users start with Freeform and upgrade as needed.

8. Define Your Call-to-Action

Decide how the AI should close conversations:

  • Simple handoff: “Thanks, we’ll be in touch shortly.”

  • Advanced follow-up: Provide a rough quote and link to your calendar

  • Add a Calendly or LeadTruffle scheduling link if you want the AI to book appointments
